Steps
- A customer is on Cash terms when their payment terms are 0 days and credit is not allowed - new customers start that way. Walk-in customers always are. The customer list shows each oneโs terms: *Cash* or e.g. *30 days*.
- On a cash customerโs draft invoice, click Issue & receive payment. Enter how they paid - cash, M-Pesa, card, bank or cheque, split across up to three if needed, with the M-Pesa or card code - and click Issue invoice & record payment.
- The invoice and the receipt(s) are posted together, as a standard ERPโs A/R invoice + payment: the invoice is paid at once. Only cash may be more than the invoice (the change is shown).
- Save and issue from the invoice form takes you straight to the payment.
Good to know
- Without the full payment the invoice stays a draft. To give a cash customer credit once, someone who may approve sales opens Sell on credit this once, ticks it and gives the reason - it is recorded in the audit trail.
- An invoice that needs approval (e.g. a large discount) waits for it with the payment taken: the invoice shows it, and the receipt is posted the moment it is approved. If it is declined, hand the money back.
- Everywhere an invoice is issued: through the API a cash customerโs invoice needs its payments (or on_credit with a reason, by a key that may approve sales); lease and equipment-hire billing leave a cash customerโs invoice as a draft, to be issued with its payment.
- Switch it off in Settings โบ Tax setup โ Documents โ Cash customers pay as the invoice is posted. Credit customers (days > 0 or credit allowed) are issued as before.
