Express service: quick jobs in one step

Oil changes and routine services - invoiced, paid and closed at once, kept in the unit’s history.

Steps

  1. Go to Service → Express service (next to Units & history).
  2. Customer: choose them, or give a new customer’s name and phone (a walk-in customer pays with no record kept). Add who brought it in if someone else did.
  3. Unit: what is serviced, the registration and / or chassis / serial number (a unit already known is found again and its history continues), make, model and mileage.
  4. Service: the date, the type (e.g. preventive maintenance) and the description - e.g. *Engine oil and filter change, 85,000 km service*.
  5. Spare parts and labour: choose each part or labour item (labour marked 🛠 - hours × rate); the price fills in and can be changed; add a discount if allowed.
  6. Payment: the total is filled in as cash - split it across M-Pesa, card, bank or cheque with their codes if needed; only cash gives change.
  7. Click Invoice, receive payment & close the job: the job (marked *Express*) is recorded and closed, the invoice issued and paid, the parts taken out of stock.

Good to know

  • All or nothing: without the full payment nothing is saved. An invoice that needs approval (e.g. a discount above the limit) can’t be completed here - a manager completes it.
  • Express jobs skip diagnosis, quotation and workshop WIP: parts leave stock on the invoice; labour goes to workshop labour revenue. For a repair that needs diagnosis or the customer’s approval, use Receive a unit.
  • The last express services are listed under the form; each opens its job card with the invoice and payments.
