Own fuel tanks: deliveries, fills, dips and reconciliation

When you store your own fuel, the tank is stock - every litre in, out and measured is accounted for.

Steps

  1. Create a stocked fuel item in litres (Inventory) and go to Fleet management โ†’ Fuel tanks โ†’ Add a tank: the name, the warehouse where it stands, the fuel item, capacity and dip tolerance.
  2. Deliveries: receive the fuel into that warehouse with a goods receipt (or a supplier invoice) - as any stock.
  3. Fills: under Fuel โ†’ Record fuel, choose From our own fuel tank and the tank. It is a goods issue on the vehicle at stock cost (Dr fuel and charging / Cr inventory) - fuel issued is that vehicle's fuel consumed. A fill larger than the stock by the books is refused.
  4. Dips: on the tank, Record dip with the measured litres. Within tolerance it is accepted; beyond it, someone else clicks Adjust the books (a loss or gain on 6212 Fuel stock gains and losses).
  5. Choose a period on the tank for the reconciliation: opening + deliveries โˆ’ issued to vehicles โˆ’ other issues ยฑ dip adjustments = closing by the books, against the last dip.

Good to know

  • Unadjusted dip variances appear under Exceptions.
  • Existing organisations: run Settings โ†’ Fleet management โ†’ Check set-up once to add account 6212.
