Opening balances - moving from your old system

Bring the trial balance, customers, suppliers, stock, bank and assets across, reconciled.

Steps

  1. Go to Finance โ†’ Opening balances โ†’ New migration: name it, set the cut-off (the old system's last day), the branches and what comes across. Choose *open items* for customers / suppliers who will keep paying old invoices.
  2. Download the trial balance template, fill it from the old system at the cut-off and upload it - debits must equal credits.
  3. On Mapping, check each old account's Navigate account and its control category, then Confirm mapping (it is remembered next time).
  4. On Subledgers, upload customers, suppliers, stock, bank balances, assets and any schedules (deposits, advances, staff, tax). Every stock SKU must already exist as a product - add or import your products first.
  5. On Reconciliation, run it: every control account must equal its subsidiary ledger.
  6. On Post, check the opening journal preview and post - once.

Good to know

  • The trial balance is the ledger: one opening journal brings every account across; customers, suppliers, stock and assets become records that post nothing themselves - so nothing is counted twice.
  • A correction is a new version of the file; the old one stays in the history and earlier checks go stale.
  • Posting needs Accounting โ€บ Approve. After posting, a reversal is requested by one person and approved by another, who needs Accounting โ€บ Approve; it waits while later transactions (payments, sales of the stock, depreciation) depend on the migration.
